Store Executive – Inbound

Position Overview:
We are seeking a detail-oriented and proactive Store Executive – Inbound to manage the receipt, verification, documentation, and storage of incoming materials. The role is critical in ensuring inventory accuracy, maintaining warehouse discipline, and supporting seamless outbound operations through efficient stock management.
Key Responsibilities
Inbound Receipt & Verification:
- Receive materials from domestic vendors, import shipments, forwarders, showroom transfers, samples, and repair returns.
- Verify received quantities against Purchase Orders (PO), Delivery Challans (DC), and Packing Lists.
- Inspect materials for visible damages, packaging issues, and quantity discrepancies.
- Segregate materials based on project, category, or purpose.
GRN & Inventory System Management:
- Prepare Goods Receipt Notes (GRN) accurately and within defined timelines.
- Update ERP and inventory management systems with inward stock details.
- Maintain accurate SKU, batch number, and serial number records.
- Report shortages, damages, mismatches, or special handling requirements.
Labeling & Stock Identification
- Label all incoming materials with relevant SKU, project code, batch number, or purpose.
- Ensure stock is clearly identifiable and traceable across warehouse and showroom locations.
Storage & Warehouse Management
- Allocate stock to designated storage locations.
- Follow FIFO (First In First Out) and FEFO (First Expiry First Out) inventory practices.
- Maintain organized, clean, and safe storage areas.
- Ensure materials are arranged for efficient retrieval and dispatch.
Documentation & Record Management
- Collect and maintain delivery challans, invoices, packing lists, and transporter documentation.
- Coordinate documentation sharing with Procurement and Accounts teams.
- Maintain proper inward stock records and filing systems.
Import Inbound Operations
- Assist in unloading and receiving import containers.
- Reconcile physical stock against packing lists and shipment documents.
- Report transit damages, shortages, or excess quantities immediately.
- Support documentation required for insurance or damage claims.
Coordination & Communication
- Coordinate with Procurement teams regarding PO clarifications.
- Work with QA and Project teams during inspections and approvals.
- Communicate stock readiness to outbound and operations teams.
- Escalate critical discrepancies and urgent issues to the Store Manager.
Compliance & Safety
- Adhere to warehouse SOPs and operational guidelines.
- Use material handling equipment and PPE safely.
- Participate in stock audits, cycle counts, and inventory verification activities.
- Ensure compliance with workplace safety standards.
Required Skills & Competencies
- Basic understanding of warehouse and inventory management processes.
- Strong attention to detail and accuracy.
- Working knowledge of ERP systems and Microsoft Excel.
- Good communication and coordination skills.
- Ability to work in a fast-paced warehouse environment.
- Process-driven and safety-conscious mindset.
Qualifications & Experience
- Education: 10+2, Diploma, Graduate, or equivalent qualification.
- Experience: 1–3 years in warehouse operations, stores management, inventory control, logistics, or related functions.
- Experience handling inbound logistics and inventory documentation will be preferred.
