Role Objective
The Sales Coordinator will support the sales team by preparing accurate, competitive, and timely quotations and BOQs aligned with client requirements and company margin guidelines. The role requires strong attention to detail, cross-functional coordination, and effective client communication.
Key Responsibilities
1. BOQ Analysis & Budget Mapping
- Analyze client BOQs, drawings, and specifications
- Align product selection with budget constraints
- Break down BOQs into item-wise and category-wise costing
- Identify gaps and suggest value-engineering alternatives
2. Quotation Preparation & Accuracy
- Prepare detailed, item-wise quotations
- Ensure accuracy in specifications, quantities, pricing, taxes, and delivery terms
- Create multiple quotation versions (budgetary, final, revised)
- Maintain standard formats and commercial compliance
3. Pricing & Commercial Discipline
- Use approved price lists and cost sheets
- Maintain margin discipline as per guidelines
- Highlight risks or low-margin items before submission
4. Client Coordination & Clarifications
- Share quotations and respond to client queries professionally
- Handle clarifications on pricing and scope (non-negotiation)
- Maintain records of revisions and communication
5. Sales Team Support
- Provide cost breakups and comparative analysis
- Assist in pre-bid and post-bid documentation
- Support revision impact analysis
6. Tracker & MIS Management
- Maintain trackers for quotations, BOQs, and revisions
- Monitor turnaround time and pending actions
- Share MIS reports with management
7. Cross-Department Coordination
- Coordinate with Purchase for costs and lead times
- Align with Warehouse for stock availability
- Work with Finance for tax and commercial terms
8. Documentation & Data Control
- Maintain structured digital records
- Ensure version control and data confidentiality
9. Process Adherence & Improvement
- Follow SOPs and approval workflows
- Suggest improvements in processes and reporting systems
Mandate Skills (Must-Have)
- Advanced MS Excel (VLOOKUP/XLOOKUP, Pivot Tables, formulas)
- Strong numerical and analytical skills
- High attention to detail and accuracy
- Understanding of BOQ and project-based costing
- Strong email drafting and communication skills
- Ability to coordinate across multiple departments
- Strong time management and multitasking ability
Qualifications & Experience
- Education: Graduate / MBA in Finance, Commerce, or related field
- Experience: 1–3 years in sales coordination, quotation management, or BOQ handling
